Qualified Healthcare Administrator Needed for the habilitation's Course and Knowledge Center (KKC)
KKC is part of Habilitering & Hälsa and is located at Sabbatsberg Hospital in central Stockholm.
We offer groups, courses, and lectures for individuals with autism, intellectual disabilities (ID), and their relatives. The operations consist of child teams, adult teams, ID teams, and an administrative team.
Responsibilities include:
- Supporting the care process with the inflow and outflow of all patients in the unit. This includes referral management, appointment scheduling, record keeping, handling unit matters in 1177 and Alltid Öppet, cancellations, interpreter and medical travel bookings, and other patient-related administration.
- IT and system responsibility (course booking system, online courses, course catalog, informational materials, and other regional support systems).
- Staffing the reception and unit phone.
- Guiding patients digitally, by phone, and in person at our facilities.
- Schedule and personnel administration.
- Mail, orders, purchases, and invoices.
- Ensuring that administrative routines are followed according to applicable regulations.
You will work closely with three administrative colleagues and share responsibilities within the team.
Qualifications:
To be considered for the position, you need the following experiences and knowledge:
- At least 3 years of relevant experience (within the last 5 years) in qualified administrative work within healthcare, habilitation, or other region- or government-controlled operations.
- At least 2 years of documented practical experience with the TakeCare record system.
- Documented experience working in the region's administrative support systems such as Heroma, Raindance, Clockwork, and TeleQ.
- Documented experience working in 1177 and Alltid Öppet.
- Documented experience in independently initiating, prioritizing, and completing multiple simultaneous tasks with high throughput and maintained quality, with limited need for guidance or correction.
- Good and applicable knowledge of confidentiality legislation (OSL) and the General Data Protection Regulation (GDPR).
- Very good Swedish and English in both spoken and written form.
Meritorious:
- High technical competence in healthcare IT.
- Experience in course and group administration for patients.
- Experience in improvement work and digital accessibility.
- Experience with Pingpong, Support and Treatment (SoB), Transvoice, medical travel, and working with patients with protected identities.
- Experience with our target groups with autism and ID.
Personal qualities:
- The position requires excellent communication skills as you will meet patients with reduced cognitive and communicative abilities.
- You are resilient and flexible.
- The work is varied and sometimes intense with many different tasks and moments. Therefore, it is crucial that you are structured, have good prioritization skills, and can handle multiple tasks simultaneously.
- High ability to switch between different tasks in parallel processes while maintaining focus.
- Team-oriented and quick learner.

Employment conditions:
Parental leave substitute for about 1 year starting from April 2026.
Working hours: Daytime: 08:00-16:30.
Interviews will be conducted continuously during the application period.
The position will be filled under the condition that it does not need to be allocated for internal relocation, according to applicable regulations.
For patient-related work within the Stockholm County Healthcare Area:
- background checks will be applied before hiring decisions according to SLSO's overarching guidelines for background checks during employment.
- employees who will have patient contact must undergo a pre-employment medical examination, according to current directives, which is done through occupational health services before employment.
- In addition to Swedish professional certification, good knowledge of the Swedish language corresponding to level C1 according to the Common European Framework of Reference (CEFR) is required. The same requirements apply to non-licensed personnel with patient contact.
